Information we handle
We collect the name, email address, password credential, email-verification and session records needed for accounts and security. We store organization names, membership and roles, profile and onboarding information, saved settings, opportunity reviews, Pipeline work, alerts, files you choose to upload, support and feedback messages, and optional Scout conversations. Feedback may include a Scout transcript if you attach one. We store billing status, seat counts, invoices, payment-provider references and refund records, but our payment processor handles payment details entered into its hosted checkout and portal.
Our service also processes technical information such as session cookies, IP addresses, browser and request information for sign-in, security, rate limiting and operation.
How we use and share information
We use information to provide and secure accounts; rank and display available federal opportunities; save your organization's decisions and work; send account, alert and billing messages; provide support; bill paid subscriptions; prevent abuse; and maintain and improve the service. We do not present an extracted requirement as a substitute for checking the current source document.
We share information as needed with providers that process payments, deliver transactional email, run optional AI features and handle private feedback triage. Scout requests can include your question, selected app context and retrieved opportunity or profile facts. The app requests that the Scout provider not store responses and uses a short prompt cache, but BidSeek separately stores Scout threads you choose to keep. The optional website import sends public website content or a URL to an AI provider. We do not send a company PDF uploaded for NAICS recognition to an AI provider: that import is processed in memory, and only fields you approve are saved to the profile.
Regular files you deliberately upload are stored with access controlled by organization membership. In-app feedback is stored by BidSeek and delivered to our private feedback triage workflow. We may also disclose information when required by law, to protect the service and its users, or in a business transfer subject to applicable obligations. We do not use an external advertising analytics provider for the public website in this release.
Retention and your choices
We retain account and organization information while needed to provide the service and for legitimate operational, security and legal purposes. Billing records, feedback, files, saved threads, backups and hashed trial-eligibility markers have different retention needs; an account closure does not itself erase all of them. You can ask support@bidseek.ai for access, correction or deletion of your information. We will verify the request and explain any data we must retain, including billing records and limited anti-abuse markers. The specific deletion schedule and backup process will be added only after they are implemented and approved.
Security and changes
We use account verification, scoped organization access and operational controls to protect information. No online service can promise absolute security. We may update this policy as the service changes; we will state the new effective date and provide any notice or choice required by applicable law.
